1. An email address on your own domain is still standard, not a luxury

kontakt@twojafirma.pl looks different from an address on a public email provider's free domain. For a client or business partner, it is often the first clue as to whether the company has its own infrastructure or is operating ad hoc. Email on your own domain is one of the most basic, yet still underestimated, elements of a company's image.

On Saplo, business email runs on its own Mailcow installation, separate from the disk limit of the main application, whether it is a website or online store. Each plan has its own email storage allowance. This means a large email attachment does not take up space that would otherwise be used for website files or a database.

The number of mailboxes is not limited by a fixed number of accounts. It is limited by available storage: Box S includes 10 GB of email storage, Box M 15 GB, Box L 30 GB, Box XL 50 GB, and Box XXL 80 GB. In practice, you can create as many mailboxes as fit within your plan's storage allowance.

2. What is included and what costs extra

Business email is included with every plan, starting with Box S. Accounts and addresses are not charged separately, and their number is unlimited. The only limit is email storage, which increases with your plan (10, 15, 30, 50, or 80 GB).

Box L includes 30 GB of email storage, which usually gives a small business with a handful of team members plenty of headroom for contact, office, sales, and owner addresses. Each new team member simply needs another mailbox created in the dashboard, with no extra charge and no plan change.

The Addon Poczta +5 GB lets you expand the storage limit when the number of mailboxes or archive size exceeds your plan's base allowance. You can avoid moving to a higher Box tier just for email if the current plan still provides enough RAM and SSD capacity for everything else.

3. How other providers calculate limits

Competitor A offers up to 100 email addresses at no additional charge on its hosting plans. It also sells dedicated email plans under a premium email brand, with more storage of up to 50 GB per mailbox (public pricing, as of 2026-10-10). This is a mailbox-limit model similar to Saplo's, which is based on storage rather than account count.

When you purchase a domain, Competitor B includes a free mailbox with 5 GB of storage. Its full paid email solution is a separate, add-on product with more storage and features, priced separately (public pricing, as of 2026-10-10). In other words, the free tier is more restrictive than Saplo's standard email allowance, even on Box S.

The difference in Saplo's model is that the email allowance grows with your hosting plan as an integral part of the Box plan, rather than being a separate email product purchased independently of your website or application hosting.

4. Email security and deliverability

Saplo's email infrastructure includes configured authentication mechanisms (SPF, DKIM, DMARC) that help keep outgoing messages out of recipients' spam folders. Missing proper configuration is one of the most common sources of frustration when running your own business email.

You can access email through a standard email client using IMAP/SMTP or through browser-based webmail, with single sign-on (SSO) from the Saplo dashboard. This makes access easier for people who do not want to remember a separate email password.

The Antyspam Pro add-on extends filtering of unwanted messages beyond the standard protection included in the base email installation on every plan.

It is not worth sending marketing campaigns to your entire customer list from a company mailbox. Bounces and spam complaints triggered by bulk sending damage the domain's reputation, which then affects regular customer emails too.

5. Who it is for

For a one-person business setting up its first company website, Box S with 10 GB of included email storage is a more affordable option than a separate dedicated email subscription from another provider.

For a small business with a few employees, Box L (30 GB of email storage and unlimited accounts) covers typical needs without extra fees for each additional mailbox.

For a business with a high volume of correspondence, including large archives and many mailboxes, Box XL or Box XXL with more email storage (50 or 80 GB) avoids the need to clean up mailboxes regularly because of storage limits.

6. How to set up your first mailbox on Saplo

After connecting your domain to Mailcow, you can create a mailbox in the Saplo panel by choosing an address (e.g. kontakt@twojafirma.pl) and setting a password, without manually configuring MX, SPF or DKIM records.

You can access a new mailbox immediately through browser-based webmail, using SSO from the Saplo dashboard, or through a standard email client configured with the IMAP/SMTP details provided in the dashboard.

For a small team, plan an address convention from the start, such as firstname.lastname@, department@, or contact@. This avoids the chaos of adding mailboxes later without a clear structure for company email addresses.

Migrating existing mailboxes from another email provider requires exporting messages, usually in mbox format or through a direct IMAP-to-IMAP transfer, and importing them into the new Mailcow mailbox. The Saplo team can help with larger migrations.

After migration, update the SPF and DKIM records in the domain's DNS zone so outgoing messages do not land in recipients' spam folders while the new email configuration takes effect.

7. Business email, brand image, and customer trust

An address on your own domain (kontakt@twojafirma.pl) looks more credible than an address on a public email provider's free domain. For business clients and partners, it can be the first subconscious signal of a company's professionalism.

A consistent address convention across the team, such as firstname.lastname@ or department@, makes communication easier. Clients are more likely to remember an address and associate it with a specific department or person at the company.

Having your own business email also gives you better control over archiving business correspondence. This can be important during audits, in disputes with clients, or simply when organizing the history of your communications with a particular customer.

For businesses that use newsletters and marketing email, a separate, properly configured mail domain with SPF, DKIM and DMARC improves bulk email deliverability, not just regular one-to-one correspondence.

8. Managing team email over time: aliases, groups and staff turnover

As a team grows, the number of company mailboxes grows with it. Instead of creating a new mailbox from scratch for every new hire, it is often easier to set up forwarding aliases for existing mailboxes, such as support@ forwarding to several members of the customer support team at once.

Email groups, where one message is sent to several mailboxes at once, make it easier when multiple people need to see the same correspondence. For example, board@ can reach both the owner and the company's chief accountant without manually copying them on every email.

When an employee leaves, their mailbox does not have to be deleted immediately. You can forward it to their manager's or team's mailbox for a set period before closing it permanently. This ensures continuity in communication with customers who previously dealt with that specific person.

Keep an eye on the per-plan mail storage limit in the dashboard, especially for mailboxes with large attachments. Depending on your Box plan, the limit ranges from 10 to 80 GB, and you do not want to reach it at the worst possible time, such as just before an important customer email.

Archiving older correspondence by exporting it to a local archive outside the server is good practice for mailboxes close to their storage limit. It frees up space while preserving access to historical correspondence the company may need for an audit or a customer dispute.

The Mail +5 GB add-on is simpler than manual archiving when a team is growing faster than the base plan's storage limit. You can still use both strategies in parallel, depending on the nature of the correspondence in each mailbox.

9. Email availability and deliverability monitoring

Business email, unlike a website, needs to be available virtually around the clock because an unanswered customer message may mean a missed business opportunity. That is why the availability of the email infrastructure is just as important as that of the website or application itself.

Email authentication mechanisms such as SPF, DKIM and DMARC need to be configured correctly not only at launch, but also whenever the sending setup changes, such as when adding a new system that sends emails on behalf of the domain. A configuration error affects the deliverability of all emails sent from that domain.

Monitoring whether sent messages reach the inbox rather than spam is good practice, especially after major changes to the email setup or a migration from another provider, when the domain's reputation may not yet have fully settled among recipients.

The Saplo team can help diagnose deliverability issues, but a domain's email reputation is built over time through regular sending that complies with provider guidelines, not through one perfect technical configuration on the day the mailbox is launched.

For businesses that send high email volumes, such as newsletters and transactional notifications, consider separating the subdomain used for this traffic from the primary mail domain used for day-to-day correspondence. This reduces the risk that a problem with one type of email will affect the reputation of the entire domain.

10. Business email in the context of GDPR compliance

A company mailbox usually stores customers' personal data (names, addresses, and sometimes payment data in attachments), so it is subject to the same GDPR rules as other systems that process personal data, including rules on retention periods and the right to erasure on request.

If email is included in your Box backups, a deleted message may remain in a backup for the backup retention period. This should be considered when handling customer requests to delete personal data.

Limit access to company mailboxes to people who genuinely need it, especially shared mailboxes such as contact@ and office@ that several people can access. With staff turnover, regularly review who still needs access.

For businesses that process large volumes of personal data through email, such as HR teams or sales departments handling customer data, consider additional internal rules for storing and deleting old correspondence. These should exist regardless of the technical options offered by the Saplo email infrastructure. A clearly written internal email policy, even a brief one, can also help when new team members join and would otherwise have to guess the rules for working with company mailboxes.

11. Summary: business email is a foundation, not a luxury

Business email on your own domain, with a disk-space-based limit rather than a fixed number of mailboxes, is included with every hosting plan. It is one of those infrastructure details that are easy to overlook when choosing a plan but that have a real impact on daily work and how customers perceive your business. For a company building a professional brand from day one, an address on your own domain is as fundamental as the website itself, not something to consider only after the business is established.
